TL;DR

Coordinator, Protocol, Ceremonies & Events: Providing complex administrative and event support for university-wide ceremonial and strategic initiatives with an accent on space booking management, stakeholder coordination, and high-level protocol execution. Focus on managing large-scale events, ensuring operational excellence, and maintaining professional standards for senior university leadership.

Location: Must be based in Kelowna, BC (Okanagan campus)

Salary: $4,695.00 - $5,385.00 CAD Monthly

What you will do

  • Oversee the non-academic space booking process and manage event submissions for campus stakeholders.
  • Coordinate logistics for large-scale strategic events, including convocation, VIP visits, and debate series.
  • Manage complex guest lists, RSVP tracking, and seating plans for high-profile ceremonies.
  • Provide administrative support including financial coding in Workday, meeting coordination, and minute-taking.
  • Collaborate with campus partners to develop event planning resources and improve operational processes.
  • Provide on-site event execution support, including setup, registration, and post-event evaluation.

Requirements

  • Completion of two years of post-secondary education.
  • Minimum of four years of related experience in event or project coordination.
  • Advanced proficiency in Microsoft Office, specifically Excel for managing complex data.
  • Ability to work a flexible schedule including evenings and weekends as required.
  • Must have access to a reliable vehicle for off-campus event attendance.
  • Demonstrated ability to maintain confidentiality and exercise diplomacy with senior executives.

Nice to have

  • Experience with graphic design or web-based registration systems.
  • Knowledge of the hospitality industry.
  • Previous experience in a university or large institutional environment.
