What you will do

• Support Project Managers in day-to-day execution, including scheduling, meeting coordination, and follow-up tracking.
• Maintain project hygiene in ClickUp by keeping tasks, statuses, and documentation accurate and up to date.
• Coordinate logistics across design, engineering, QA, and account teams to ensure work moves on schedule.
• Draft and circulate meeting agendas, status updates, action item recaps, and client communications.
• Manage contractor and vendor invoices end-to-end, from collection to finance submission.
• Support internal operational projects and resourcing workflows to improve agency efficiency.

Requirements

• 1–3 years of professional experience in project coordination, project management, or digital production.
• Must be based in the USA and able to work in the Central Time Zone.
• High level of technical literacy regarding how digital products and interactive experiences are constructed.
• Exceptional organization and attention to detail to track multiple concurrent projects.
• Strong written and verbal communication skills for translating technical details into clear updates.
• Bachelor’s degree in Business, Communications, Project Management, or equivalent professional experience.

Nice to have

• Experience with creative technology, AR/MR, AI, Voice, or themed entertainment.
• Exposure to agency operations such as SOWs, change orders, and resource management.
• Familiarity with PM frameworks like Agile, Scrum, or Waterfall.
• Experience working with distributed and international teams or contractors.
