Institutional Sales Coordinator

TL;DR

Institutional Sales Coordinator (Investment): Provide high-level support and coordination to western U.S. institutional client advisors and consultant relations team with an accent on planning meetings, tracking deliverables, preparing reports and materials. Focus on ad hoc projects, invoice processing, event organization, and administrative tasks in a fast-paced investment environment.

Location: Scottsdale, AZ (onsite, full-time)

Salary: $70,000 to $85,000 USD

What you will do

• Utilize new technologies and software to boost efficiency and productivity.
• Prepare and distribute meeting materials using PowerPoint and Excel for client advisors and consultant relations.
• Review and process invoices for approval and payment.
• Organize and plan industry conferences and events.
• Provide administrative support for on-site client meetings, including material preparation and agendas.
• Ensure compliance with firm policies and procedures.

Requirements

• Bachelor’s degree or at least 5 years of administrative support experience
• Comfortable in a fast-paced environment, managing multiple tasks and deadlines
• Strong oral and written communication skills for interacting with senior leadership
• Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook), Adobe, Concur, Salesforce
• Excellent organizational skills, attention to detail, and ability to handle confidential information
• Collaborative with strong teamwork and interpersonal skills
