What you will do

  • Schedule high-volume phone, in-person, and video interviews globally to enhance candidate experience.
  • Manage end-to-end interview logistics, ensuring clear and prompt communication with candidates and interview teams.
  • Maintain accurate candidate statuses and data integrity within the Ashby ATS.
  • Support new employee onboarding, including processing paperwork and coordinating pre-boarding handoffs.
  • Collaborate with the Recruiting Operations team to streamline processes and develop strategies to attract top talent.
  • Utilize AI-assisted tools and automation to increase the speed and quality of coordination workflows.

Requirements

  • 4-5+ years of experience in recruiting coordination, HR coordination, or operations support.
  • Experience working with an ATS (experience with Ashby is a plus).
  • Business-level proficiency in both English and Japanese (written and spoken).
  • High attention to detail and ability to manage multiple moving parts with a sense of urgency.
  • Flexibility and initiative, including willingness to execute tasks outside of regular business hours when needed.
  • Proactive, solutions-first mindset and strong organizational skills.

Nice to have

  • Experience supporting large-scale hiring in Japan or the broader APAC region.
  • Familiarity with AI-assisted recruiting tools or workflow automation platforms.
  • Knowledge of employment law considerations relevant to Japan.
  • Experience coordinating technical or engineering interviews.
  • Background in process documentation or SOP creation.
