What you will do
- Manage end-to-end interview scheduling across multi-timezone calendars for senior candidates, executives, and cross-functional panels.
- Serve as the primary coordination point of contact for executive candidates to ensure a warm, polished, and organized experience.
- Maintain real-time accuracy of candidate records, interview stages, and pipeline data within Greenhouse.
- Build and own the operational playbook for executive coordination, including confirmation cadences and prep material delivery.
- Partner with senior recruiters to proactively resolve scheduling conflicts and mitigate risks to search momentum.
- Handle sensitive executive search details with high discretion and professionalism.
Requirements
- 2+ years of experience coordinating executive or senior leadership searches.
- Near-perfect scheduling record with a high attention to detail regarding time zones and double-bookings.
- Ability to independently manage a full portfolio of complex searches without daily direction.
- Professional communication skills tailored for VP and C-suite candidates.
- Systems-thinking mindset to identify, fix, and document inefficient processes.
- Must be authorized to work in the US.
