Vendor Management Systems (VMS) Coordinator (TraceGains): Own the hands-on build and daily operation of centralized VMS for supplier onboarding, ingredient specification management, and documentation control with an accent on data integrity, workflow configuration, and cross-functional visibility. Focus on setting up supplier profiles, managing documentation uploads and version control, performing data cleansing, and coordinating with stakeholders to improve system utilization.
Location: Fully remote, based in Buenos Aires, Argentina or Lima, Peru

What you will do
- Administer TraceGains platform daily, setting up and maintaining supplier profiles, item records, specifications, and documentation workflows.
- Initiate and track supplier onboarding, communicating requirements and following up for complete records.
- Upload, organize, and maintain supplier documentation including specifications, certifications, COAs, with version control and expiration tracking.
- Perform data cleansing, migration from legacy tools, and standardize templates and workflows.
- Coordinate with suppliers and internal teams (Procurement, Supply Chain Ops, QA/Regulatory) on onboarding progress, compliance status, and reporting.
- Identify and implement improvements to workflows, data integrity, and system utilization.
Requirements
- 1–3 years experience with Vendor Management System (VMS) or Supplier Compliance platform.
- Strong written English communication skills (supplier-facing).
- Hands-on experience with TraceGains strongly preferred; similar platforms like FoodLogiQ, SafetyChain considered.
- Experience onboarding suppliers or managing supplier documentation workflows.
- Intermediate to advanced Google Sheets / Excel skills.
- High attention to detail and ability to manage multiple workstreams.
Nice to have
- Experience with food manufacturing, meal production, or food distribution.
- Familiarity with ingredient specifications, COAs, and regulatory documentation.
- Experience supporting ERP or procurement system integrations.
- Experience writing or contributing to SOP documentation.
