Intake Specialist

TL;DR

Intake Specialist (Criminal Defense): Serve as the first point of contact for potential clients in a US criminal defense law firm, conducting intake interviews and managing case information with an accent on accurate documentation and urgent escalation. Focus on handling sensitive calls, client follow-ups, and compliance with firm procedures under high-pressure situations.

Location: Fully Remote. Preferred: Latin America, South Africa. Working Hours: 9:00 am - 5:00 pm EST. Holidays: US Federal Holidays.

Salary: USD 1,000 - 1,400 per month

What you will do

• Answer incoming calls and respond to urgent client inquiries professionally.
• Conduct structured intake interviews for criminal defense matters, gathering detailed case information.
• Enter, update, and manage client data in case management software like Filevine or Clio.
• Assess urgency, escalate critical matters, and schedule follow-ups.
• Provide receptionist support including call routing, message taking, and email responses.
• Ensure all documentation is accurate, complete, and compliant with firm procedures.

Requirements

• 2+ years experience in legal intake, criminal defense case management, or receptionist roles in a US law firm (preferred)
• Fluency in Spanish and English (spoken and written)
• Strong organizational skills to manage multiple calls and tasks.
• Experience with Filevine, Clio, or similar legal case management systems.
• Ability to remain empathetic, calm, and professional with distressed callers.
• Excellent written and verbal communication skills.
