What you will do

• Maintain project tracking accuracy across all active client engagements, including tasks and timelines.
• Manage and monitor team capacity, utilization, and resource allocation.
• Ensure consistent and accurate time tracking across the delivery team.
• Build and maintain reporting dashboards for leadership regarding project health and billable utilization.
• Identify and escalate capacity risks, timeline risks, and scope misalignment.
• Standardize project plans and continuously improve operational workflows and templates.

Requirements

• 3–6+ years of experience in project operations, project coordination, or PMO roles (agency or SaaS preferred).
• Strong experience managing resource planning, utilization tracking, and reporting.
• Advanced proficiency in project management tools such as Teamwork, Asana, or ClickUp.
• Strong skills in Google Sheets or Excel for formulas and reporting dashboards.
• Strong written and verbal communication skills in English.
• Ability to operate independently in a fast-paced, remote environment.

• Experience working in a HubSpot partner agency or professional services environment.
