TL;DR
Project Operations Manager (Client Delivery): Owning the structure, tracking, and operational accountability of the client delivery function with an accent on resource planning and capacity management. Location: Remote (Latin America, Eastern Europe, or South Africa preferred). Strong overlap with EST required.
Compensation: $2,500–$4,000 USD/month

What you will do
- Maintain project tracking accuracy across all active client engagements, including tasks and timelines.
- Manage and monitor team capacity, utilization, and resource allocation.
- Ensure consistent and accurate time tracking across the delivery team.
- Build and maintain reporting dashboards for leadership regarding project health and billable utilization.
- Identify and escalate capacity risks, timeline risks, and scope misalignment.
- Standardize project plans and continuously improve operational workflows and templates.
Requirements
- 3–6+ years of experience in project operations, project coordination, or PMO roles (agency or SaaS preferred).
- Strong experience managing resource planning, utilization tracking, and reporting.
- Advanced proficiency in project management tools such as Teamwork, Asana, or ClickUp.
- Strong skills in Google Sheets or Excel for formulas and reporting dashboards.
- Strong written and verbal communication skills in English.
- Ability to operate independently in a fast-paced, remote environment.
Nice to have
- Experience working in a HubSpot partner agency or professional services environment.
- Familiarity with billable utilization models.
- Experience improving or implementing operational processes at scale.
