TL;DR

HR Admin Specialist: Managing global HR administrative tasks, employee records, and end-to-end lifecycle support with an accent on HRIS data accuracy, documentation management, and process automation. Location: Warsaw office (4 days onsite per week + 1 day remote flexibility). Office address: Central Tower, Aleje Jerozolimskie 81, 02-001, Warszawa.

What you will do

  • Maintain and update HR system (HiBob) and EOR platform for accurate employee data across regions.
  • Manage documentation including agreements, annexes, and HR paperwork for employees and contractors globally.
  • Process lifecycle changes like salary increases, promotions, and transfers for international team.
  • Automate HRIS workflows to streamline administrative tasks and employee lifecycle efficiency.
  • Administer visa and work permit processes, coordinating with external partners.
  • Support payroll team and handle global employee queries.

Requirements

  • Minimum 1-2 years HR experience, preferably international.
  • English proficiency at minimum B2 level; additional languages advantageous.
  • Experience with HR systems (HiBob), Google Sheets/Excel, data management tools a strong plus.
  • Proactive mindset focused on process improvement and automation.
  • Strong organizational skills, attention to detail, ability to prioritize in fast-paced environment.
  • Understanding of data confidentiality and compliance with local regulations/labor laws.

  • Knowledge of additional languages.
