HR Operations Specialist

We are now looking for an experienced HR Operations Specialist to take full ownership of HR operations for our Polish legal entity. This is a hands-on role for someone who thrives on structure, compliance, and operational excellence.
What you’ll be responsible for
— Own and execute all HR operational processes across the full employee lifecycle in Poland
— Prepare, manage, and update employment documentation in line with Polish labor law (employment contracts, civil contracts, amendments, terminations, certificates, etc.)
— Coordinate payroll inputs and ensure accurate processing of hires, changes, absences, and terminations
— Maintain complete, audit-ready employee files and HR records
— Ensure HRIS data accuracy and integrity
— Provide day-to-day operational HR support to employees and managers
— Monitor changes in Polish labor regulations and adjust processes accordingly
— Support internal and external HR audits
— Drive improvements and standardization of HR operational workflows
— Support Global Mobility processes (work permits, residence permits, relocation coordination)
What we’re looking for
— 4+ years of experience in HR Operations / HR Administration / HR Compliance
— Strong practical knowledge of Polish labor law
— Hands-on experience managing employment documentation in Poland
— Experience working closely with payroll providers and legal advisors
— Understanding of the full employee lifecycle from an operational perspective
— Experience with HRIS systems and maintaining high-quality HR data
— High attention to detail and strong organizational skills
— Ability to work independently and take ownership
— Strong communication and stakeholder management skills
Nice to have:
— Experience in international or multi-country environments
— Legal education or formal labor law training
— Experience supporting audits or labor inspections
— Experience with EU employment regulations
— Experience supporting HR during legal entity setup or restructuring
