Operations Coordinator, Order Management (Retail)

What you will do

• Manage assigned retail accounts and end-to-end order flows from purchase order receipt through order entry, inventory reservation, warehouse release, shipment confirmation, and invoicing.
• Analyze inventory, allocations, inbound shipments, and warehouse transfers; recommend alternate fulfillment options, partial shipments, transfers, or cancellations.
• Resolve pricing, item setup, order hold, routing, EDI, system, shipment confirmation, and delivery issues across Sales, Demand Planning, Finance, Logistics, IT, warehouses, carriers, 3PLs, and retail partners.
• Coordinate routing requests, carrier assignments, shipping documentation, warehouse releases, appointments, pickups, and shipment projections.
• Investigate chargebacks, deductions, rejected disputes, invoice discrepancies, and retailer compliance requirements.
• Maintain order reports and procedures, prepare fulfillment performance summaries, and use approved AI-assisted tools and automation to improve validation, anomaly detection, reporting, and repetitive workflows.

Requirements

• University degree in Commerce, Business, Supply Chain, Operations, or equivalent relevant experience.
• At least three years of experience in order management, customer or account operations, or supply chain operations in a retail, wholesale, or B2B environment.
• Experience supporting major retail accounts and EDI-based order flows.
• Working knowledge of retail order management, order-to-cash processes, inventory concepts, and EDI transactions.
• Proficiency with ERP order management systems, preferably Oracle, and ability to learn retailer portals and routing platforms.
• Intermediate to advanced Microsoft Excel skills.
• Strong analytical, problem-solving, communication, follow-through, prioritization, and cross-functional collaboration skills.
• Ability to work independently and under pressure in a fast-paced environment, applying sound judgment to AI and automation outputs.
• Strong written and verbal communication skills in English and French.

Nice to have

• Experience with retailer routing, fulfillment, and compliance requirements.
• Experience coordinating with warehouses, 3PLs, transportation providers, and cross-functional teams.
• Familiarity with reporting and business intelligence tools.
• Experience with automation, AI-assisted workflows, or data-driven process improvement.
