Events Specialist - San Jose (AI)

Location: San Jose, CA, United States; in-office attendance required. Requires approximately 20%–30% domestic and international travel, including venue inspections, vendor meetings, and on-site event execution. Event production may require evenings, weekends, extensive walking, prolonged standing, and lifting promotional materials up to 25 lbs.

Base pay: $101,800–$152,600 per annum, plus possible incentive compensation, bonus, restricted stock units, and benefits.

What you will do

• Lead the end-to-end planning, production, execution, and post-event wrap-up of large-scale marketing events, conferences, customer experiences, and trade shows, including AI-centric events.
• Develop project plans, critical-path schedules, milestone trackers, and comprehensive program budgets; track spend, purchase orders, accruals, and reconciliations in Uptempo.
• Partner with Product Marketing, Field Marketing, Demand Generation, Creative Services, and Sales to develop event themes, content programming, promotions, and account-based attendee acquisition plans.
• Source, negotiate with, and manage vendors and agencies covering exhibit production, audiovisual and staging, venues, catering, transportation, and event production.
• Oversee booth properties, demo station technical setups, partner deliverables, and on-site brand installations.
• Establish lead qualification and SLA handoff processes, analyze attendee feedback and session attendance, and measure pipeline influence and event ROI.

Requirements

• Bachelor’s degree in Marketing, Communications, Business Administration, Hospitality, or equivalent practical experience.
• 5+ years of progressive experience in event planning and project management, preferably within an enterprise B2B technology or SaaS organization.
• Hands-on experience with Salesforce, Marketo, Uptempo, enterprise event registration, badge scanning, and attendee mobile app platforms.
• Proven success leading complex, multi-day marketing events, large trade show booth presences, and cross-functional campaigns from strategy through execution.
• Experience managing RFP processes, negotiating master services agreements, and directing agency and production teams.
• Exceptional project governance, organization, multitasking, analytical reasoning, problem-solving, stakeholder influence, written and verbal communication, and presentation skills.
• Ability to assess ambiguity, anticipate risks, create contingency plans, and make operational decisions under pressure.
• Ability to communicate effectively across multiple time zones and regions.
• Ability and willingness to travel approximately 20%–30% domestically and internationally.
