Operations Specialist (AI)

Location: Remote (US); Central Time business hours with flexibility based on business needs

What you will do

• Manage new-hire setup and onboarding, including system access, rosters, cohort calendars, communications, and knowledge checks.
• Write and maintain SOPs and keep the knowledge base current.
• Coordinate weekly team meetings and skills practice, including agendas, materials, recaps, and attendance.
• Build and deliver training for new tools and significant system updates, and communicate process changes to sales teams.
• Collect user feedback and bugs after launches, close the loop with Product and Engineering, participate in product design sessions, and test new features in real workflows.
• Run recurring reports and routine operational tasks, provide PTO coverage, and convert repetitive work into AI or automation solutions.

Requirements

• 1–3 years of experience in operations, program coordination, sales support, training, or a similar fast-paced role; strong internships count.
• Hands-on daily use of AI tools, with examples of creating finished SOPs, training guides, slide decks, dashboards, simple web pages, or reports using Claude, ChatGPT, or similar tools.
• Experience automating a manual process with AI or no-code tools, such as a workflow, script, spreadsheet automation, or AI-driven routine that was set up and maintained.
• Ability to critically evaluate AI output and check it before distribution.
• Clear, concise writing and the ability to turn messy processes into actionable steps.
• Ability to teach, run training sessions, and explain new tools to skeptical audiences.
• Strong organization, proactive execution, follow-through, and judgment about when to decide or escalate.
• Strong command of Google Workspace, including Docs, Sheets, Calendar, and Slides, plus Slack.
• Comfort working asynchronously with remote teams across time zones.

Nice to have

• Exposure to real estate investing, wholesaling, or a sales-driven environment.
• Experience coordinating onboarding, training cohorts, or an LMS.
• Experience writing SOPs or maintaining a knowledge base.
• Experience with HubSpot or another CRM.
• Basic technical comfort with Markdown/HTML, GitHub, Google Apps Script, or SQL/Metabase.
• Bachelor's degree or equivalent experience.
