TL;DR
Clinic Coordinator - Mon-Fri 7am-3:30pm (Healthcare Administration): Coordinating complex oncology appointments and clinic-floor administrative operations with an accent on patient communication, scheduling accuracy, and high-volume service delivery. Focus on triaging patient and provider requests, maintaining regulatory compliance, responding to emergencies, and supporting Epic-based workflows.

Location: 300 Boylston St, Chestnut Hill, Massachusetts, United States; 100% onsite. Schedule: Monday–Friday, 7:00 a.m.–3:30 p.m.

Salary: $45,500–$54,400 per year

What you will do

  • Schedule complex, multidisciplinary appointments for oncology patients and monitor scheduling reports for accuracy and resource utilization.
  • Coordinate check-in and check-out activities, triage calls, verify patient identities, process paperwork, and enter verbal orders.
  • Communicate with patients, families, providers, leadership, and cross-functional teams about complex scheduling and clinical information.
  • Deliver customer service, respond to patient needs, de-escalate grievances, and escalate issues to floor leadership when necessary.
  • Follow emergency response procedures, protect patient information, and complete registration and compliance processes.
  • Use and troubleshoot Epic, Outlook, RTLS, and patient-use iPads while supporting system upgrades and operational changes.

Requirements

  • High school diploma required; a bachelor’s degree is preferred.
  • Proficiency with technology and complex computer systems.
  • Excellent verbal and written communication, customer service, organization, problem-solving, and critical-thinking skills.
  • Ability to multitask, adapt to changing priorities, learn quickly, and work effectively within and across teams.
  • Ability to maintain confidentiality of protected health information and comply with HIPAA, institutional policies, and quality standards.
  • Patient contact is required through in-person, telephone, written, and email communication.

Nice to have

  • Experience working in a customer service setting.
  • Experience training new team members or participating in quality improvement projects.
