Talent Acquisition Operations Specialist

Location: New York; candidates must be based in the San Francisco Bay Area and work onsite a minimum of two days per week.

What you will do

• Manage complex interview scheduling and coordination across teams, stakeholders, time zones, and interview formats.
• Support candidates throughout the interview process and coordinate onsite interview logistics.
• Build and maintain interview plans, workflows, requisitions, and headcount information across HRIS and applicant tracking systems.
• Manage accepted-offer workflows and handoffs to People Operations, ensuring accurate and complete information.
• Develop standard operating procedures, templates, documentation, and resources for recurring Talent Acquisition workflows.
• Investigate operational issues, identify root causes, and implement practical process and system improvements.

Requirements

• 1–3 years of experience in recruiting coordination, Talent Acquisition operations, HR operations, recruiting, or a related role.
• Experience independently managing complex scheduling or other multi-stakeholder operational workflows.
• Strong organization, prioritization, attention to detail, written and verbal communication, and problem-solving skills.
• Ability to maintain accurate information across HRIS, applicant tracking, scheduling, and collaboration tools.
• Ability to build relationships with recruiters, hiring managers, Executive Assistants, interviewers, and People Operations.
• Must be based in the San Francisco Bay Area and able to work onsite at least two days per week.
