HR Operations Specialist

Location: Lisbon, Portugal; hybrid work with two days per week in the Portugal office

What you will do

• Own end-to-end HR Operations for Western Europe, including onboarding, offboarding, contracts, compliance, payroll coordination, benefits, and vendor relationships.
• Act as a first point of contact for regional HR requests, prioritizing and resolving cases based on urgency, employee impact, risk, and cost.
• Coordinate payroll inputs, expenses, benefits administration, raises, promotions, and other salary-related processes with Finance and local providers.
• Run the Lisbon office, managing space, supplies, equipment, vendors, invoicing, and the workplace environment.
• Ensure local legal requirements align with global HR Operations standards and identify where local rules require exceptions.
• Improve workflows by addressing process gaps, documentation issues, bottlenecks, manual work, and automation opportunities.

Requirements

• 3–5 years of experience in HR Operations, People Operations, or HR Generalist roles with end-to-end operational ownership.
• Hands-on experience with payroll coordination, benefits administration, contracts, and compliance in at least one country.
• Ability to prioritize HR cases and make decisions based on urgency, employee impact, risk, and cost.
• Experience in a service-oriented, internal-customer-facing HR or People function.
• Comfort working autonomously in a remote-first, globally distributed organization.
• Excellent English is required for meetings, customer calls, and business communications; the CV must be written in English.

Nice to have

• Experience working across multiple countries or in a multi-country HR Operations environment.
• Working knowledge of Portuguese labor law and compliance.
• Experience improving workflows, documentation, automation, or HR systems.
• Experience in a fast-growing or scaling organization and regular collaboration with Finance or Legal.
• Comfort using AI tools to streamline HR Operations workflows, documentation, and reporting.
