Project Administrator I (Grants): Coordinating post-award administration, financial management, compliance, reporting, and closeout for sponsored research projects with an accent on award terms, budget monitoring, expenditure reconciliation, and sponsor requirements. Focus on establishing project accounts, tracking deliverables and cost sharing, resolving financial discrepancies, and completing compliant project closeouts.

Location: Kingsville, Texas, United States; onsite staff position

What you will do

  • Coordinate post-award administration for sponsored research projects with faculty, sponsors, departments, and university offices.
  • Establish project accounts and review award terms, budgets, cost-sharing requirements, sponsor regulations, and deliverables.
  • Process and review expenses, purchase orders, invoices, payroll allocations, cost transfers, and other project-related transactions.
  • Monitor expenditures, project milestones, reporting requirements, indirect costs, and cost-sharing commitments.
  • Prepare financial and administrative reports and provide guidance to researchers, departments, sponsors, and auditors.
  • Coordinate financial closeout, including expenditure reconciliation, outstanding transactions, required reports, and award file maintenance.

Requirements

  • Bachelor’s degree in an applicable field or an equivalent combination of education and experience.
  • Strong organizational, analytical, communication, problem-solving, proofreading, and customer-service skills.
  • Basic budget and financial management abilities, including expenditure tracking and reconciliation.
  • Proficiency with Microsoft Excel or similar spreadsheet applications, including formulas, sorting, filtering, and basic data analysis.
  • Ability to interpret policies, procedures, award requirements, and institutional regulations while managing multiple deadlines.
  • Export-control authorization is required before starting employment. The position is security-sensitive and requires compliance with applicable state and federal laws and Texas A&M System policies.

Nice to have

  • One to two years of experience in post-award administration, grants management, sponsored projects, or project administration.
  • Experience with research administration, budget monitoring, financial reconciliation, and expenditure tracking.
  • Experience with institutional financial and project-management systems.
