AI Program Coordinator / PMO (AI)

Location: Warsaw or Rzeszow, Poland; hybrid, office-based, or remote work available

What you will do

• Gather and structure business requirements for AI solution pilots.
• Coordinate pilot schedules, dependencies, deadlines, meetings, status updates, and project wrap-ups.
• Collect metrics, user feedback, and costs, then prepare recommendations to implement, improve, or close pilots.
• Manage the internal AI Hub with use cases, documentation, best practices, guidelines, FAQs, and approved-tool information.
• Coordinate AI communications in Microsoft Teams, including the recurring Weekly AI format, and communicate platform and model needs to the Data & AI team.
• Support AI governance through access administration, budget reporting, forecasts, variance analysis, and technology and security approval processes.

Requirements

• 2–4 years of experience in project coordination, PMO, business analysis, or a similar role in IT, technology, or e-commerce.
• Experience managing multiple topics, schedules, status updates, risks, decisions, dependencies, and management reporting.
• Experience gathering requirements, structuring information, preparing recommendations, and bringing structure to ambiguous areas.
• Practical use of AI tools such as Microsoft Copilot, ChatGPT, Claude, or Gemini, plus a basic understanding of AI agents.
• Experience implementing AI tools or automation solutions such as Copilot, Power Automate, n8n, Make, chatbots, or process automation.
• Comfort with Excel and/or Power BI, Jira, Confluence, or similar tools. Excellent Polish and English communication skills are required; English at B2+/C1 level.

Nice to have

• Experience with internal communications, communities of practice, or training programs.
• Project management certification such as PRINCE2, PMP, AgilePM, or PSM.
• Experience in e-commerce, marketplaces, gaming, or the technology industry.
