Events Project Manager (Contract)

Location: NYC/Metro Area, hybrid

Compensation: $45–$60 per hour

A robotics and AI company developing recovery products for fitness, hospitality, and wellness environments.

What you will do

• Own the end-to-end project management and execution of 6–8 events during a 3-month project sprint.
• Coordinate third-party event production companies, trade show organizers, venues, booth requirements, shipping, electricity, AV, and technical needs.
• Manage event budgets, purchase orders, invoices, expense tracking, and overall Q3/Q4 event spend.
• Arrange flights, hotels, local transportation, travel itineraries, and on-site playbooks for event staff.
• Organize and ship booth displays, hardware, signage, swag, print materials, presentations, lead forms, and QR codes.
• Lead post-event pack-out, return shipping, budget reconciliation, and lead handoff to the revenue team.

Requirements

• 3–5 years of experience managing trade shows, B2B conferences, field marketing activations, or corporate events.
• Hands-on experience building event timelines, negotiating vendor orders or contracts, and shipping hardware or displays.
• Strong financial skills, including project budget management, purchase orders, invoice reconciliation, and spreadsheet tracking.
• Ability to manage multiple overlapping event timelines with exceptional organization and attention to detail.
• Strong communication skills for working with vendors, agency partners, Sales, Marketing, Product, and executive stakeholders.
