What you will do

  • Act as the administrative point of contact for the Program Director and coordinate program activities across multiple campuses.
  • Support the Graduate Program Committee, maintain the PhD Program Handbook, and ensure program actions follow university policies and procedures.
  • Coordinate graduate admissions, recruitment, admissions committee activities, application reviews, interviews, symposiums, and related travel.
  • Plan seminars, retreats, orientations, degree milestones, examinations, and graduate student initiatives.
  • Maintain student records across medical and graduate curricula, track research progress and outcomes, and prepare internal reports.
  • Support doctoral student success, professional development, the Graduate Student Organization, hiring processes for Graduate Assistant Researchers, and administrative transactions.

Requirements

  • Bachelor’s degree or an equivalent combination of education and experience.
  • At least one year of experience in program coordination or a related field.
  • Strong organizational, record-keeping, communication, and interpersonal skills.
  • Knowledge of graduate admissions, program operations, academic advising, and student support.
  • Proficiency with standard office software and technology, with the ability to manage confidential information and multiple priorities.
  • Ability to coordinate activities across the Bryan-College Station and Houston campuses.

Nice to have

  • Experience in an academic or medical education setting, especially with graduate curricula.
  • Experience working with faculty, staff, and students.
  • Familiarity with university policies and procedures related to graduate education.
  • Experience with student information systems such as Banner, PeopleSoft, or Slate.
