TL;DR
Operations Specialist – Office of International Programs (DOE/NNSA): Providing business and program management support for international nuclear security programs with an accent on administrative operations, reporting, travel coordination, and access procedures. Focus on tracking action items, managing classified and unclassified meetings, coordinating international travel clearances and visas, and supporting executive briefings.

Location: Onsite daily at the DOE Headquarters Building, Forrestal, in Washington, DC. After integration and director approval, a hybrid schedule of 3–4 onsite days and 1–2 remote days may be permitted as workload allows.

Salary: $90–$115,000 annually.

What you will do

  • Provide business and program management support to the Director and Office of International Programs staff.
  • Track action items, maintain process spreadsheets, and prepare reports for senior leadership.
  • Coordinate correspondence, edit documents, and manage document submissions in eDOCS.
  • Plan logistics and access approvals for executive meetings, conferences, travel, and video teleconferences.
  • Coordinate international travel requirements, including security clearances, country clearances, visa paperwork, and submission timelines.
  • Facilitate visitor access, onboarding and offboarding, and briefing book development for classified and unclassified activities.

Requirements

  • Bachelor’s degree with at least 2 years of relevant experience, or an associate’s degree with at least 4 years of professional experience.
  • Active Q or Top Secret security clearance with the ability to pass polygraph testing for additional accesses.
  • Excellent writing, editing, and interpersonal communication skills.
  • Ability to prioritize multiple tasks, track details, anticipate issues, and identify solutions.
  • Proficiency with Microsoft Word, including styles, and Excel, including macros.
  • Experience with business systems such as Federal Travel Management System, Concur, Workday, eDocs, and SharePoint.

Nice to have

  • Experience with DOE/NNSA processes and procedures.
