TL;DR

Focus on managing hybrid and virtual events, resolving operational issues, reconciling event finances, and supporting significant travel during peak seasons.

Location: Bryan, Texas, United States; hybrid work with three days per week in a TTI Texas-based office and onsite presence required for assigned events, meetings, and in-person activities. The primary duty station is TTI Bryan, and reporting there is required for the first 30 days.

What you will do

  • Plan and coordinate conferences, meetings, workshops, and special events for TTI, TxDOT-sponsored projects, and external clients.
  • Manage venue, facility, vendor, catering, audiovisual, transportation, parking, room layout, scheduling, and other event logistics.
  • Set up and maintain event registrations, attendee records, communications, name badges, signage, agendas, and event materials.
  • Coordinate requirements, deliverables, deadlines, estimates, and event information with venues, vendors, clients, internal departments, and stakeholders.
  • Provide onsite support, resolve operational issues, and complete post-event evaluations, documentation, financial reconciliation, reporting, and project closeout.
  • Support the Event Director, project leads, and Event Management & Planning team with initiatives, special projects, and financial processes.

Requirements

  • Bachelor’s degree or an equivalent combination of education and experience.
  • At least two years of experience in event coordination, hospitality, tourism, or project management.
  • Knowledge of word processing and spreadsheet applications, with strong communication, interpersonal, organizational, multitasking, and customer service skills.
  • Ability to manage pre-conference planning, registration, financial oversight, post-conference reporting, multiple projects, and changing priorities within deadlines.
  • Must work irregular and extended hours, including nights and weekends, and travel during peak seasons.
  • Employment is subject to a criminal history investigation and credential verification.

Nice to have

  • Proficiency with event management tools such as Cvent, Accelevents, Microsoft Access, or Constant Contact.
  • Proficiency with Microsoft Teams, Zoom, Webex, Eshow, Remo, or other virtual meeting platforms.
  • Experience with research contracts and a soft money environment.
