TL;DR
Estates Specialist FCC (Secondment) (Estate Administration): Administering client estate cases, including death notifications, disbursements, residuals, documentation review, and estate tax slips, with an accent on compliance, accuracy, and timely customer service. Focus on investigating non-standard inquiries, coordinating escalations, and implementing process and system improvements.

Location: Hybrid schedule at 483 Bay Street in Toronto, moving to 3 Robert Speck Parkway in Mississauga approximately in late 2026. Current Canadian work authorization is required.

Hourly compensation: CAD 28.00–40.00 per hour, based on experience and qualifications.

What you will do

  • Administer estate cases from initial notification of death through partial or total disbursements and estate residuals.
  • Request and review documentation, follow up on incomplete submissions, and suggest appropriate alternatives when required documents are unavailable.
  • Deliver high-quality service to internal and external customers, take ownership of cases, collaborate across departments, and escalate issues in a timely manner.
  • Assist with the creation and delivery of estate tax slips and provide backup support for other estates-related activities.
  • Review and update documentation, support projects, and identify process and system enhancements.
  • Research non-standard inquiries and issues, develop potential solutions, and help implement improvements.

Requirements

  • 2–3 years of experience in operations or customer service processing, ideally in an estates group.
  • Post-secondary education or equivalent experience.
  • Accurate, detail-oriented, analytical, organized, and able to manage multiple deadlines under pressure.
  • Excellent verbal and written communication, interpersonal, problem-solving, and time-management skills.
  • Proficiency with Microsoft Office, including Word and Excel.
  • Current work authorization is required.

  • Experience in the financial industry.
  • Estate and Trust Administration course.
  • Bilingual communication skills.
  • In-depth knowledge of estates and related legislation.
  • Knowledge of Broadridge’s Dataphile platform.
