TL;DR
Infrastructure and Operations Manager, PGME: Managing the administrative infrastructure, operations, staff, systems, and facilities supporting postgraduate medical education programs with an accent on resident management, process governance, finance, and compliance. Focus on leading complex operational improvements, overseeing the Resident Management System, resolving cross-functional issues, and maintaining accurate systems and records across distributed training programs.

Location: Primarily onsite at the PGME Office in Vancouver, British Columbia, Canada

Salary: $6,949.92–$9,992.50 CAD monthly

What you will do

  • Lead PGME administrative operations, infrastructure, systems, communications, facilities, and office resources.
  • Manage the Resident Management System used for resident registration, payments, promotions, tracking, records, accreditation, and financial forecasting.
  • Develop and implement administrative policies, business processes, records-management practices, and strategic improvement initiatives.
  • Oversee resident admissions, onboarding, contracts, agreements, reports, finance updates, and coordination with internal and external partners.
  • Supervise administrative staff, manage performance and workplace conflicts, and support recruitment, training, appointments, and renewals.
  • Manage operational budgets, analyze expenses, recommend reallocations, and advise PGME leadership on operational matters.

Requirements

  • Undergraduate degree in a relevant discipline and at least three years of related experience, or an equivalent combination of education and experience.
  • Experience leading teams, managing projects, improving processes, and working through complex issues in dynamic environments.
  • Strong judgment, initiative, accuracy, discretion, conflict-resolution, interpersonal, and written and oral communication skills.
  • Ability to work independently under broad direction, manage multiple deadlines, and collaborate with senior leaders and diverse stakeholders.
  • Proficiency with Microsoft Office, including Word, Outlook, Excel, Access, and SharePoint, or equivalent software.
  • Intermediate proficiency with Adobe Acrobat Pro and experience working with web-based or standalone custom databases.

Nice to have

  • Experience working in a university or other large, complex organization.
  • Experience working with senior leadership, change management, continuous quality improvement, and innovation.
  • Knowledge of complex policies, processes, guidelines, and employment agreements.
