TL;DR

Procurement Administration Assistant (Logistics/Supply Chain): Providing essential administrative support to the Procurement Services team with an accent on contract renewals and database integrity. Focus on ensuring compliance with procurement regulations, managing purchase requisitions, and coordinating with stakeholders.

Location: Hybrid; must be based in or able to commute to the Milton Keynes office (approximately once per month)

What you will do

  • Manage non-complex contract renewals under £60k, liaising with stakeholders and maintaining records.
  • Review and process purchase requisitions to ensure alignment with university policies.
  • Support compliance with the Procurement Act 2023 and manage the publication of required notices.
  • Maintain procurement database accuracy and produce monthly reports to facilitate timely renewals.
  • Provide administrative support, including scheduling meetings and taking minutes for the Procurement Services team.
  • Assist Category teams with tendering activities and support the delivery of the Responsible Procurement Strategy.

Requirements

  • Experience with the Purchase to Pay (P2P) process and general purchasing principles.
  • Proficiency in Microsoft Word, Excel, Teams, and SharePoint Lists.
  • Strong organizational skills with the ability to manage a varied workload and meet deadlines independently.
  • Clear communication skills in both spoken and written English.
  • Experience working successfully in both remote and office-based environments.
  • Ability to attend the Milton Keynes office as required by business needs.

Nice to have

  • CIPS Certificate or equivalent professional procurement experience.
  • Experience using SAP Ariba and Spend Management P2P functionality.
  • Knowledge of public sector procurement (PCR 2015, PA23) and GDPR legislation.
  • Familiarity with PowerBI, Microsoft Forms, and Power Automate.
  • Understanding of information/cyber security practices and sustainability in procurement.
