TL;DR

Office Manager (Office & HR Administration): Oversee daily office operations and workplace services while coordinating end-to-end onboarding/offboarding and maintaining accurate HR documentation with an accent on vendor management, facilities/office budget control, and compliance with Polish labor law. Focus on creating a welcoming employee experience through structured processes, event coordination, and reliable HR administration support.

Location: Kraków, Poland (Hybrid; regular presence in the Kraków office required, typically 2–3 days per week)

What you will do

  • Oversee daily office operations, facilities, workplace services, and ensure a safe, well-maintained environment.
  • Manage vendors, service contracts, supplies, equipment, building access, and coordinate repairs/maintenance with IT and external providers.
  • Organize on-site and off-site company events, meetings, and conferences, including logistics for catering, transportation, and accommodation when needed.
  • Monitor office budgets and expenses, process invoices, and support operational finance/accounting requests.
  • Coordinate onboarding and offboarding, including employment documentation, workplace setup, orientation, and exit processes.
  • Support local payroll and benefits administration and act as the first point of contact for HR and workplace inquiries.

Requirements

  • 4+ years of Office Management experience (or similar) in an international corporate environment with multiple locations.
  • Fluent Polish and English (written and verbal).
  • Strong understanding of Polish labor law and employment practices.
  • Experience coordinating payroll and benefits administration with external providers.
  • Proven ability to build and manage processes for office and HR administration, with strong attention to detail and accuracy.
  • Proficiency in MS Office Suite (Word, Excel, Outlook).
