TL;DR

Bookkeeping Specialist (Finance): Managing financial records and accounting processes for multiple business entities with an accent on QuickBooks administration and multi-entity synchronization. Focus on ensuring data accuracy across 17+ companies, managing digital financial archives, and optimizing expense reporting workflows.

Location: Remote. Work schedule must be flexible between 8:00 AM to 8:00 PM Simi Valley, CA Time.

What you will do

  • Maintain accurate financial records and perform account reconciliations across multiple QuickBooks company files.
  • Manage and troubleshoot QuickBooks and Expensify bank feed connections and synchronization issues.
  • Organize and archive financial documents within complex Dropbox folder structures for various business entities.
  • Process monthly financial documents from accounting portals, ensuring proper naming and categorization.
  • Perform recurring administrative and bookkeeping tasks for 17+ separate companies consistently.
  • Collaborate with internal stakeholders to resolve discrepancies and improve workflow efficiency.

Requirements

  • 2–3 years of professional bookkeeping experience.
  • Strong proficiency in QuickBooks Online and Microsoft Excel.
  • Experience managing multiple QuickBooks files or working with multiple companies.
  • Experience using cloud-based document management platforms like Dropbox or OneDrive.
  • Strong written and verbal English communication skills.
  • Technical Requirements: Windows laptop/desktop with minimum 16 GB RAM and Intel Core i5 (10th Gen or newer), i7, or AMD Ryzen 5 equivalent.
