TL;DR

Project Administrator (Construction): Supporting the project management team in administrative tasks for client construction projects with an accent on budget tracking and vendor coordination. Focus on maintaining project documentation, processing purchase orders, and managing the project close-out process.

Location: Beverly, MA. Must have proof of eligibility to work in the United States.

Salary: $70,000 - $75,000 USD

What you will do

  • Establish project file structures and enter critical project details into budget tracking forms.
  • Coordinate vendor setup, including gathering W9 forms, banking letters, and confirming eligibility.
  • Process purchase order requests and change orders while ensuring alignment with budgets.
  • Guide vendors through invoicing procedures and record approved invoices into budget workbooks.
  • Monitor purchase order balances and obtain lien waivers as work is completed.
  • Manage project close-out by preparing checklists, reconciling final budgets, and collecting warranties and manuals.

Requirements

  • Minimum of 2 years of project management or construction support experience.
  • Proficiency with Microsoft Office 365, specifically Excel and Outlook.
  • Experience with construction accounting and understanding of A/P, A/R, and budget cycles.
  • Strong written and verbal communication skills with a professional demeanor.
  • Valid driver’s license and reliable transportation.
  • Proof of eligibility to work in the United States.

  • College degree or equivalent relevant experience.
