Procurement Operations Business Partner - Workplace, Security and People (AI)

Location: San Francisco, CA or Seattle, WA; hybrid attendance with staff expected in an office at least 25% of the time

What you will do

• Manage high-volume purchase requests, statements of work, change orders, renewals, contracts, and purchase orders across Workplace, Security, and People.
• Review vendors, commercial documents, spend categorization, approvals, privacy, security, third-party risk, and legal requirements before purchases proceed.
• Structure purchase orders for fixed-fee, milestone, progress, time-and-materials, placement, per-head, and recurring services, with accurate GL accounts, cost centers, and service periods.
• Own receipts, open purchase orders, invoice mismatches, accrual reviews, commitments, closures, and month-end financial completeness in partnership with Accounting and Accounts Payable.
• Guide requesters on purchasing policy, approval thresholds, signature authority, Procurement versus card spend, and upcoming purchasing needs.
• Maintain playbooks and intake guidance while improving manual workflows with Claude and automation.

Requirements

• 5–7+ years of procurement operations, purchasing, or vendor operations experience, including support for Workplace or Facilities, Security, or People teams.
• Experience owning a high-volume purchasing portfolio end to end in a procure-to-pay and intake platform.
• Working knowledge of accrual accounting for purchasing, including accruals and reversals, service periods and cutoff, prepaid versus expense, capital versus operating spend, and GL and cost center coding.
• Experience managing services vendors under master agreements with statements of work and change orders while keeping contracts, purchase orders, and invoices aligned.
• Experience with facilities, real estate, or construction purchasing, including milestone or progress billing and receiving against physical delivery.
• Working knowledge of contract, privacy, security, and financial-control reviews, with judgment about when to advance or pause a request.
• Bachelor’s degree or an equivalent combination of education, training, and relevant experience.

Nice to have

• Experience with office build-outs, leases, fixed assets, furniture, fixtures, and equipment, including work with Lease Accounting or Fixed Assets.
• Experience purchasing physical security services or systems, recruiting agencies, contingent workforce, HR, benefits, or Total Rewards vendors.
• Background in accounting, Accounts Payable, month-end close, accrual reviews, or open purchase order reconciliation for a large variable-spend portfolio.
• Experience with Zip, Workday Financials, Ironclad, or tiered intake and approval frameworks.
