Recruiting Operations Specialist (AI)

What you will do

• Own interview scheduling and candidate logistics, including complex panel interviews and coordination across time zones with Executive Assistants.
• Maintain accurate and reliable Ashby data through pipeline audits, data checks, and configuration support.
• Use recruiting data and feedback to identify bottlenecks, implement improvements, and measure their impact.
• Build scalable recruiting processes using AI and agents to automate repetitive tasks, reduce manual handoffs, and support hiring decisions.
• Champion the candidate experience through clear expectations, timely updates, and thoughtful preparation.

Requirements

• 2+ years of experience in recruiting operations or coordination, ideally in a global startup or fast-moving technology environment.
• Hands-on experience with Ashby or a comparable applicant tracking system, including an understanding of data quality and system configuration.
• Strong organizational judgment, including the ability to prioritize competing requests, navigate ambiguity, and follow through independently.
• Clear, thoughtful communication and excellent writing skills, with confidence working with senior stakeholders and raising necessary changes.
• An AI-native mindset, including the ability to understand processes, identify improvement opportunities, and build scalable workflows integrating AI and agents into recruiting operations.
• A collaborative approach, including welcoming feedback, sharing learnings, and caring about candidates and stakeholders.
