Retail Operations Manager

Location: Remote; based in New York, New Jersey, or Pennsylvania. Travel of approximately 10–20% may be required depending on business needs.

Consumer products business whose products are sold through its direct website, Ulta Beauty, and Amazon, with distribution supported by retail and fulfillment partners.

What you will do

• Own daily order management across Ulta, Ulta International, Amazon, and future retail distribution channels.
• Validate purchase orders, coordinate inventory priorities, and resolve discrepancies before orders are confirmed.
• Coordinate fulfillment providers on retailer routing, labeling, shipping documentation, pickup, delivery, and compliance requirements.
• Monitor EDI transactions and retailer portals, resolve rejected or missing documents, and verify order, shipment, and invoice data.
• Prepare invoices, reconcile quantities, investigate chargebacks, and prepare dispute documentation with Finance.
• Lead operational readiness for new retailer and item launches, maintain reporting, and improve procedures, automation, and backup coverage.

Requirements

• 3+ years of relevant experience in wholesale order management, retail operations, or customer operations within a consumer products business.
• Hands-on experience managing national retailer orders from receipt through delivery and invoicing, including resolving exceptions across internal teams and fulfillment partners.
• Experience supporting multiple distribution centers and meeting retailer routing and compliance requirements.
• Hands-on experience monitoring EDI transactions, diagnosing operational errors, and working with providers to resolve them.
• Experience working directly with third-party warehouses and transportation partners on fulfillment and delivery issues.
• Strong Excel or Google Sheets skills, including reconciliation of order, inventory, shipment, and invoice data.
• Sound judgment when priorities compete, with the ability to explain risks, recommend actions, and identify decisions requiring approval.
• Clear communication, attention to detail, and consistent follow-through.
• Examples of improving an operating process, including the candidate’s contribution and the resulting improvement in accuracy, service, or manual effort.

Nice to have

• Experience in beauty, fragrance, personal care, or home products.
• Familiarity with OpenText, ShipIQ, Partners Online, or comparable retailer systems.
• Experience improving workflows through ERP systems or automation.
• Proficiency in LLMs such as Claude or GPT.
• Experience supporting new retailer launches or managing Amazon fulfillment alongside national wholesale accounts.
