What you will do

  • Plan and execute a high volume of promotional pharmaceutical speaker bureau programs across assigned client accounts.
  • Coordinate speaker confirmations, travel, honoraria, venues, contracts, audiovisual services, shipments, and attendee communications.
  • Set up and support virtual programs using Zoom, Microsoft Teams, and other event platforms.
  • Manage program closeouts, budget reconciliation, reporting, and compliance with client financial and regulatory requirements.
  • Act as the primary point of contact for sales representatives, healthcare professionals, speakers, clients, and internal departments.
  • Identify potential issues, provide solution-oriented responses, and contribute to process optimization.

Requirements

  • At least 3 years of experience managing pharmaceutical speaker bureau programs.
  • Experience executing multiple concurrent programs under tight deadlines.
  • Strong knowledge of pharmaceutical compliance guidelines, including the Sunshine Act.
  • Proficiency with Zoom and Microsoft Teams, including hosting, screen sharing, breakout rooms, and troubleshooting.
  • Proficiency with Microsoft Word, Excel, and Outlook; intermediate PowerPoint skills.
  • Exceptional organization, communication, relationship-building, customer service, and problem-solving skills.

Nice to have

  • Bachelor’s degree.
  • Experience with survey tools, email platforms, Adobe Acrobat PDF, event management platforms, and CRM systems.
