What you will do

• Coordinate logistics for conferences and trade shows, including booth specs, floor plans, and shipping.
• Manage vendor relationships, quotes, timelines, proofs, and payment status.
• Create internal event documentation such as run-of-show docs, shipping trackers, and FAQ guides.
• Handle swag sourcing, inventory tracking, packing, and fulfillment.
• Perform light design updates using Canva for branded event materials and print-ready files.
• Build and maintain repeatable event operation workflows in Notion and Google Drive.

Requirements

• Experience supporting conferences, trade shows, field events, or event production.
• Proven ability to manage tactical event details and vendors independently.
• Proficiency with Canva for template updates and basic print file preparation.
• Strong organization and follow-through across complex deadlines and moving pieces.
• Must be available for real-time collaboration during US business hours.

Nice to have

• Exhibitor-side conference experience, including booth logistics and drayage.
• Experience with HubSpot, Slack, Google Drive, or Notion.
