Operations Associate

TL;DR

Operations Associate (Workforce Management): Coordinate and manage customer service agent schedules to ensure the Core Clinical team is properly resourced with an accent on demand forecasting, capacity planning, and maintaining accurate scheduling data. Focus on solving scheduling conflicts, optimizing resource allocation, and improving scheduling workflows through automation.

Location: Fully Remote (to be based anywhere in South Africa)

Salary: R28,300–R31,600 per month (ZAR)

What you will do

• Coordinate and manage schedules for customer service agents to optimize resource usage.
• Act as the point of contact for scheduling-related inquiries and resolve scheduling conflicts.
• Maintain up-to-date records of schedules, appointments, absences, and staffing changes.
• Develop and maintain scheduling systems to minimize downtime and maximize productivity.
• Anticipate demand fluctuations and adjust schedules proactively using forecasts and staffing models.
• Identify opportunities to automate and streamline scheduling workflows.

Requirements

• Experience in scheduling, resource planning, or workforce management is an advantage (e.g., customer service, healthcare, or operations).
• Strong organizational and time-management skills with the ability to handle multiple tasks simultaneously.
• Excellent written and verbal communication skills for internal and external stakeholders.
• Strong problem-solving skills to handle scheduling conflicts quickly and efficiently.
• Comfort working with data and Excel/Sheets; experience with workforce tools or scheduling platforms is desirable.
• Ability to work in a fast-paced environment and manage competing priorities.
