Senior Meeting Planner (Government)

TL;DR

Senior Meeting Planner (Government): Coordinating a variety of government meetings and events ranging from 10 to 3,000 attendees with an accent on logistics, vendor negotiation, and security clearance coordination. Location: Hybrid. Must be able to work from the office in Arlington, VA when requested and travel for onsite event support.

What you will do

• Independently coordinate events for 10-3,000 attendees, managing all details from start to finish.
• Research facilities, conduct site visits, and negotiate contracts with hotels and vendors.
• Develop and manage event budgets and registration fee structures.
• Coordinate with security departments to clear non-US persons for attendance.
• Create and manage attendee registration websites and reporting systems.
• Manage logistics, catering, AV requirements, and onsite event execution.

Requirements

• Bachelor's degree and 5+ years of meeting/conference coordinating experience.
• Experience planning government events for 100-3,000 attendees.
• Eligibility for or current possession of a U.S. government security clearance.
• Proficiency in MS Office (Word, Excel, PowerPoint, Teams) and online registration software.
• Experience hosting webinars and virtual events.
• Willingness to travel for site visits and event support.

Nice to have

• CMP or CGMP certifications.
• Experience with online exhibits or poster presentations.
• Expertise in coordinating exhibit halls and working with general service contractors.
