TL;DR

Event Producer (Live Entertainment): End-to-end production of complex live entertainment experiences involving permanent or semi-permanent physical spaces with an accent on technical production, creative development, budgeting, and leadership. Focus on coordinating cross-functional teams, managing vendors, and delivering projects on time, on budget, and to high quality standards.

Location: Based in Tokyo; company will sponsor the stay of the freelancer in Tokyo. This is an onsite role.

What you will do

  • Oversee all phases of production from concept development to on-site execution and post-event wrap-up.
  • Coordinate cross-department collaboration across creative, operations, technical, and vendor teams.
  • Build, manage, and reconcile production budgets, track spending, and handle contracts and vendor negotiations.
  • Lead team and client meetings, present to stakeholders, and mentor junior staff.
  • Maintain comprehensive production documentation, timelines, and schedules using project management tools.

Requirements

  • Fluency in English and Japanese
  • 5+ years of experience in event production, live entertainment, media, or experiential marketing
  • Proven track record managing complex projects with multiple workstreams and stakeholders
  • Strong understanding of production logistics, scheduling, vendor coordination, contracts, and budgets
  • Proficiency with project management tools (e.g., Asana, Smartsheet, Gantt charts)
  • Excellent organizational, time-management, interpersonal, and presentation skills
