What you will do
- Coordinate logistics for conferences, partner events, online events, and internal initiatives.
- Book flights, hotels, transfers, restaurants; prepare travel itineraries and schedules.
- Register team for conferences and webinars; maintain attendee lists and calendars.
- Research upcoming events, vendors, venues; compare quotes and prepare decision tables.
- Handle data entry, organize documentation, invoices, contracts, and shared folders.
- Support partner gifts, hospitality, merch, and ad-hoc tasks; collaborate with Marketing, Sales, HR, C-level.
- Improve processes for accuracy, speed, and high-quality delivery.
Requirements
- Strong English skills (B2–C1), written and spoken for daily international communication.
- Excellent organization, time-management; handle multiple tasks under deadlines.
- Confident with Excel/Google Sheets for tables, comparisons, structured data.
- Strong research and analytical thinking to find info, compare options, draw conclusions.
- Experience in event logistics/coordination, travel booking, or administrative/assistant roles.
- High responsibility, ownership, attention to detail in repetitive tasks; thrive in fast-paced environment.
Nice to have
- Experience with event platforms (Luma, Livestorm, Zoom Webinars).
- Familiarity with email marketing tools (MoEngage, GetResponse).
- Basic knowledge of budgets, invoices, expense tracking.
- Working with vendors (print, design, stand builders).
- Understanding of marketing/sales processes; tools like Jira, Monday.com.
- Additional languages (Russian, Spanish, Portuguese).
