Procurement Operations Specialist (AI)

What you will do

• Manage purchase requests, approvals, contract signatures, purchase orders, and system records through completion.
• Keep contracts, POs, invoices, payments, scope, terms, and values aligned, and resolve supplier discrepancies with Accounts Payable.
• Run straightforward software, consulting, marketing, event, hotel, and office purchases from quote to signed agreement.
• Build, test, and maintain AI-enabled workflows that reduce cycle time and manual work.
• Own procurement process and system projects, including improvements to Zip.
• Track cycle time, rework, and time saved while supporting procurement managers.

Requirements

• At least 3 years of experience in procurement, sourcing, or vendor management.
• Working knowledge of procure-to-pay processes, including agreements, approvals, POs, invoices, and payments.
• Experience investigating discrepancies and resolving them with Accounts Payable.
• Hands-on experience improving a workflow with AI tools or automation, including an example of what was built and improved.
• Working knowledge of contract negotiation and sourcing sufficient to handle lower-risk purchases.
• Strong project management, organization, communication, follow-through, and ability to manage multiple tasks.
• Service mindset, responsive communication, and sound judgment with incomplete information or urgent requests.
• Comfort working with data, spreadsheets, and procurement or finance systems.

Nice to have

• Bachelor's degree in Operations, Supply Chain Management, Information Systems, or Industrial Engineering.
• Experience in financial services, including fintech, banking, or broker-dealers.
• Experience administering a procurement platform such as Zip.
• Experience with no-code or low-code automation tools.
• Experience training employees on procurement systems and processes.
• Exposure to mergers and acquisitions activity.
• Experience in technology/software or marketing sourcing.
