Facilities Specialist (Laboratory Facilities)

What you will do

• Coordinate daily KSP laboratory and office facility operations, maintenance planning, issue resolution, service continuity, utilities, fire and safety services, and property-owner coordination.
• Manage operating budgets, expenditures, purchase orders, invoices, cost forecasts, variances, revenue from the sublessee, and FS&RE performance metrics.
• Manage service vendors and contractor-safety requirements, including work planning, risk controls, permit-to-work coordination, contractual compliance, service levels, safety standards, and budget targets.
• Maintain regulatory permits and coordinate renewals, submissions, inspections, records, site security, visitor management, and EHS compliance.
• Manage laboratory and office space, equipment, assets, employee welfare services, sustainability initiatives, and facility infrastructure supporting safe laboratory operations.
• Coordinate renovations and major-maintenance projects from scope definition and planning through vendor selection, execution, quality control, budget management, and handover; support lease renewal and site-leadership priorities.

Requirements

• Practical knowledge of facility management, building services, preventive maintenance, fire and safety, contractor safety, and vendor management.
• Experience managing workplace and laboratory facilities, including site security, visitor management, or a comparable operational environment.
• Strong customer-service orientation and ability to support laboratory users, office employees, and site leadership.
• Business-level Japanese and basic-level-or-above English.

Nice to have

• Licensed electrician certification or another relevant technical or facility-management qualification.
• Working knowledge of real estate lease agreements, landlord coordination, and vendor contracts.
• Project-management experience in renovations, major maintenance, or workplace and laboratory improvements.
• Experience managing budgets, costs, purchasing processes, records, KPIs, and service-provider performance with strong accuracy and financial control.
• Ability to deliver results through influence and effective cross-functional coordination with internal and external stakeholders.
