Workforce Coordinator (Healthcare Operations)

What you will do

• Create and publish accurate bi-weekly and monthly rotas for assigned Swedish clinics.
• Manage late changes, shift swaps, backfills, open shifts, and coverage gaps without disrupting clinic service.
• Escalate staffing needs to bank pools and agency partners before gaps affect throughput.
• Administer Quinyx, including locations, roles, templates, policies, and leave rules, and configure an automation to reduce manual administration.
• Prepare weekly staffing reports covering coverage, overtime, additional hours, tardiness, utilisation, and variance against plan.
• Improve timesheet reconciliation and HRIS-to-payroll data flow to reduce payroll queries and adjustments.

Requirements

• Experience in scheduling or rota coordination, clinic operations, or workforce administration.
• Comfortable using Excel filters, lookups, pivot tables, and conditional formatting, and analysing CSV data.
• Hands-on experience with a workforce management or scheduling system, such as Quinyx, Deputy, UKG, or Rotageek, or the ability to learn one quickly.
• Excellent written and verbal communication skills in English.
• Demonstrated ownership of detail-heavy, deadline-driven administrative work.

Nice to have

• Experience in multi-site healthcare or shift-based operations.
• Direct experience with Quinyx.
• Exposure to payroll reconciliation or HRIS-to-payroll data flows.
