Operations Coordinator (Freight Forwarding)

Licensed freight forwarding and SaaS company focused on global shipping and storage of high-end, valuable, and bulky goods for art galleries, antique dealers, auction houses, online platforms, and interior designers.

What you will do

• Manage incoming customer shipment requests, prepare quotes using the pricing algorithm, and book shipments.
• Monitor courier, roadfreight, and airfreight shipments from booking through final delivery, providing proactive customer updates.
• Coordinate airlines, white-glove agents, and other third-party suppliers while resolving shipment issues and meeting KPIs.
• Complete export customs entries and ensure each artwork has the correct documentation; training is provided if needed.
• Build customer relationships, collaborate with Operations colleagues to resolve issues, and maintain high service levels.
• Suggest operational process improvements and work with the tech team to enhance current and future platforms and products.

Requirements

• At least 2 years of experience in freight forwarding.
• Desire to develop customer service skills and adapt to new concepts and technologies.
• Positive, curious, self-motivated, hands-on, and able to learn quickly.
• Comfortable working with numbers and preparing customer quotes.
• Detail-oriented, well organized, disciplined in daily activity planning, and able to manage a large volume of information over time.
• Enjoy working in a challenging, fast-paced, target-driven, and team-oriented environment.
• Fluent English with excellent written and verbal communication skills.
