What you will do
- Manage daily operations at the Vienna HQ, including facility maintenance, door access, and supply management.
- Plan and execute internal events such as offsites, summer parties, and hackathons using Generative AI for brainstorming and mood boarding.
- Act as the primary point of contact for landlords and suppliers, utilizing AI tools to summarize contracts and draft correspondence.
- Coordinate onboarding experiences for new hires and manage international travel logistics.
- Manage the office budget and handle general inquiries using LLMs for rapid response drafting.
Requirements
- 2-5 years of experience in Office Management, Event Planning, or Hospitality.
- Fluent in German (C1 level) for handling bureaucracy and vendors.
- Fluent in English as the primary company working language.
- Must be based in Vienna to manage the physical office environment.
- Tech literacy in Google Workspace, Slack, Jira, and Confluence.
- Experience as an early adopter of AI tools (ChatGPT, Claude, Notion AI) for productivity.
