Recruiting Operations Coordinator

hirify.global is a fast-growing company of approximately 40 people, expanding toward 100, with a product operating in a growing market.

What you will do

• Build and manage the ATS, including pipelines, stages, templates, automations, and a single source of truth for roles and candidates.
• Run interview scheduling across time zones, handling bookings and rescheduling while keeping candidates informed.
• Design the candidate and interviewer experience, including interview preparation, scorecards, feedback collection, and debrief scheduling.
• Coordinate agencies and sourcing partners by managing briefs, submissions, feedback loops, terms, duplicate candidates, and stale submissions.
• Track hiring data such as pipeline health, time-to-hire, stage conversion, and source quality.
• Own recruiting operations threads through completion and build systems that function without constant manual intervention.

Requirements

• 2+ years of experience in recruiting coordination, talent operations, or a similar role.
• Strong organizational and process-management skills, with a preference for reliable systems over memory-based work.
• Proactive ownership, precise execution, and the ability to identify stale candidates before issues escalate.
• Warm, clear, and precise written communication.
• Strong English required; Polish is a plus for local candidates and agencies.
• Must be based in Warsaw and work on-site.

Nice to have

• Experience implementing or migrating an ATS such as Ashby, Greenhouse, or Lever.
• Experience supporting high-volume hiring at a startup.
• Use of AI tools such as ChatGPT, Claude, or hirify.global to systematize work.
