TL;DR
Grants Coordinator (Federal Research Grants): Managing the full grants administration lifecycle for federal and private research awards with an accent on compliance tracking, reporting, subrecipient coordination, and audit-ready documentation. Focus on maintaining award systems and calendars, monitoring budgets and deadlines, and building AI-augmented administrative workflows.

Location: Seattle, WA; expected to work from the Seattle offices

Salary: $70,500–$106,000 base annually, plus bonus plans

hirify.global is a Seattle-based nonprofit AI research institute developing foundational AI research and innovation across open models, data, robotics, conservation, and related fields.

What you will do

  • Manage institutional registrations, system accounts, legal document routing, grant calendars, and award kickoff preparation.
  • Track reporting, compliance, renewal, closeout, and prior-approval deadlines across active awards.
  • Maintain complete, current, version-controlled, and audit-ready grant records in the grants management system.
  • Support subaward administration by collecting documentation, monitoring performance reports, reviewing invoices, and coordinating closeout.
  • Monitor award budgets with Finance, flag variances, and prepare budget modification documentation.
  • Support NSF and other required reporting, meeting coordination, project documentation, GMS administration, and workflow improvement.

Requirements

  • 3–5 years of experience in grants administration, research administration, project management, program coordination, or a closely related field.
  • Experience supporting federal grants, cooperative agreements, or contracts, including post-award documentation and reporting.
  • Strong organization, attention to detail, deadline management, written communication, and document version-control skills.
  • Experience with federal grants systems such as SAM.gov or Grants.gov.
  • Proficiency in Google Workspace and comfort with project tracking and document management tools.
  • Must be authorized to work in the United States; the employer participates in E-Verify.

Nice to have

  • Bachelor's degree or relevant certifications.
  • Experience with NSF award administration, 2 CFR 200, federal cost principles, or grants management systems.
  • Experience in a nonprofit, university, or research institute.
  • Interest in grants administration certifications such as CRA or CGMS.
