Part-Time Office Manager

Role overview:
The Bogotás Office Manager will be key to making Kiva’s Bogotá office an awesome place to work by creating a highly functioning work environment that allows our passionate employees and volunteers to thrive and fulfill the mission of the organization. The Office Manager will create, implement, and maintain systems, procedures, and events that help drive seamless day-to-day operations and continuous improvement in how we manage our office in Bogotá, Colombia.
The Bogotá Office Manager will report to Kiva’s Director of Investments (LAC) who is based in Bogotá. The Bogotá Office Manager will also receive some guidance from Kiva’s People & Culture team (US-based) and Finance Associate (based in Valledupar). This is a part-time (50%) position, with flexibility to structure 20 hours per week according to preference (provided the schedule also works for the Director of Investments - LAC).
At this time, we can only consider applicants with authorization to work in Colombia on a permanent, full-time basis; unfortunately, we cannot provide visa sponsorship.
**Key responsibilities include, but are not limited to: **
Office & Administrative Management
- Oversee the daily administrative operations of the Colombia subsidiary.
- Ensure the office complies with local operational and administrative requirements.
- Support onboarding and offboarding of employees and consultants.
- Act as liaison between our San Francisco WeWork Manager and our local WeWork Manager. Coordinate coworking memberships, office access, meeting rooms, and vendor relationships. Maintain office supplies, equipment, and administrative records.
- Organize and assist with company events and contribute to our office culture and environment; support the onboarding of new hires and provide HR support as needed
Legal & Compliance Support
- Coordinate with legal and accounting providers to maintain subsidiary compliance in Colombia.
- Support corporate filings, permits, renewals, and documentation requirements.
- Maintain organized records of contracts, policies, and corporate documents.
HR & Employee Support
- Serve as the main administrative point of contact for employees in Colombia.
- Coordinate employee documentation and benefits administration with HR providers.
- Support employee engagement activities and team events.
- Help maintain employee policies and internal procedures.
Security, Risk & Workplace Safety
- Coordinate workplace health and safety requirements for coworking operations.
- Maintain emergency contacts, travel safety protocols, and risk management procedures.
- Support business continuity and crisis response coordination.
- Support security procedures to ensure security and safety within the office; manage staff and volunteer access to office facilities.
- Ensure the Kiva office is kept in a clean and orderly fashion
- Other duties as assigned
Preferred qualifications:
- Bachelors degree required
- Minimum of 5 years of previous professional experience
- Strong computer skills, including Google applications, Slack, Microsoft Word, Excel, PowerPoint, and other commonly used software/web applications
- Excellent organizational skills, attention to detail; ability to work under pressure and juggle multiple tasks and projects
- Positive presence, great interpersonal skills, business maturity, discretion, excellent oral and written communication skills, proven team player
- Proficient in English and Spanish. Other languages are a plus.
- Strong organizational and multitasking skills
- Experience with international travel coordination
- Vendor and office management experience
- English and Spanish fluency
- Experience working with NGOs or international organizations
- Knowledge of Colombian administrative and compliance processes
- Strong communication and problem-solving skills
