Family Office Operations Manager

About the Role

We are looking for a proactive and highly organized Family Office Operations Manager to support the day-to-day operations of a private Family Office in Cyprus. The role combines operational oversight, financial coordination, communication with external service providers, and support across various business and personal matters of the family.

Key Responsibilities

Operations & Administration
• Manage daily operations and administrative processes of the Cyprus-based Family Office.
• Coordinate work of external service providers (legal, accounting, corporate services, brokers, aviation, etc.).
• Support corporate structuring, transactions, and high-level assessments of business assets.
• Handle document flow: contracts, invoices, reports, corporate registries.
• Ensure timely follow-ups and task execution by outsourced teams.
• Prepare concise summaries, briefs, and reports for the principal.

Financial & Administrative Coordination
• Transfer and perform basic checks of financial data.
• Conduct initial analysis and coordinate with financial advisors.
• Maintain internal databases, logs, and calendars.

Travel & Personal Coordination
• Organize business and family travel, including private aviation.
• Oversee personal and household logistics related to the family’s infrastructure in Cyprus.
• Support ad-hoc requests and special projects.

Communication
• Act as the main point of contact for local partners, authorities, vendors, and service providers.
• Liaise with legal, corporate, and financial consultants across jurisdictions.

Requirements

Hard Skills
• Fluent English — must.
• Russian, Ukrainian, or Greek — advantage.
• Strong administrative and organizational skills; confident with digital tools.
• Understanding of Cyprus business and corporate environment — a plus.

Soft Skills
• High level of responsibility and self-discipline.
• Strong communication and follow-up ability.
• Ability to manage multiple tasks simultaneously.
• Attention to detail, analytical mindset.
• Proactive, solution-oriented approach.

Education & Experience
Mandatory: university degree in finance or a related financial field.
Mandatory: proven experience working with financial processes or financial coordination.
Preferred: experience in the renewable energy sector in Cyprus.
• Experience in operations, business support, or corporate administration — a strong plus.
• Experience working with Cyprus-based companies or service providers — beneficial.
Valid driver’s license — mandatory.

Working Conditions
• Official employment in Cyprus; office available.
• First 3–4 months — primarily office-based for onboarding.
• Hybrid / partial remote format possible afterward.
