Procurement Operations Business Partner, R&D Operations

Location: San Francisco, CA or Seattle, WA; hybrid policy requires staff to work from one of the offices at least 25% of the time.

What you will do

• Own the end-to-end purchasing path for research teams and special programs, including purchase requests, work orders, change orders, agreements, and purchase orders.
• Review vendor records, commercial documents, spend categorization, service dates, approvals, security reviews, privacy reviews, and third-party risk assessments.
• Structure purchase orders for fixed-fee, milestone, per-unit, and usage-based billing while maintaining accurate GL accounts, cost centers, and service periods.
• Manage hardware, equipment, lab purchasing, quotes, shipping, receiving, asset handoffs, renewals, and agreement closures.
• Own open purchase order reconciliation, month-end accrual reviews, invoice holds, PO mismatches, audit support, and reporting for the portfolio.
• Establish procurement processes for new research programs and improve intake, playbooks, requester support, and workflow automation with Claude and AI.

Requirements

• Proven experience owning a high-volume purchasing portfolio end to end across procure-to-pay and intake platforms.
• Working knowledge of accrual accounting, accruals and reversals, service periods, cutoffs, prepaid versus expense treatment, GL coding, and cost centers.
• Experience supporting outsourced or managed-service vendors at scale, including changing scopes, contracts, purchase orders, and invoices.
• Understanding of contract, security, privacy, and financial-control reviews, with sound judgment on when to advance or pause a request.
• Preferred experience includes 5–7+ years in procurement operations, purchasing, or vendor operations, especially in research, engineering, hardware, or outsourced-services environments.
• Bachelor’s degree or equivalent education, training, or professional experience in a relevant field.

Nice to have

• Experience with hypergrowth technology companies, ML or RL operations, lab environments, human-data vendors, data labeling, annotation, or evaluation vendors.
• Accounting, accounts payable, month-end close, three-way matching, open PO reconciliation, or variable-spend accrual experience.
• Experience with Zip, Workday Financials, Ironclad, or tiered intake and approval frameworks.
