Executive Assistant / Paralegal (Executive Support and Corporate Legal Operations): Supporting the Founder and CEO through calendar management, travel coordination, administrative priorities, contracts, corporate records, regulatory filings, and legal document management with an accent on executive partnership, paralegal operations, and confidential information handling. Focus on coordinating signatures and outside counsel, tracking legal and filing deadlines, conducting regulatory research, and supporting due diligence for transactions and investments.

Location: Hybrid role based in Austin, Texas, with ATX or NYC listed as location options; the position requires in-office work.

What you will do

  • Manage the Founder and CEO's calendar, meetings, appointments, travel, expenses, correspondence, and follow-ups.
  • Prepare meeting documents and serve as a point of contact for employees, customers, business partners, and external contacts.
  • Support administrative and legal matters related to hirify.global and the CEO's private investment fund.
  • Assist with contracts, agreements, corporate documents, legal records, entity management, and document execution.
  • Track regulatory, contractual, legal, and filing deadlines; support compliance matters and regulatory research.
  • Coordinate with outside counsel and support document collection, due diligence, audits, transactions, office logistics, onboarding, and company events.

Requirements

  • 3+ years of professional experience, including 2+ years of paralegal experience.
  • Experience directly supporting a CEO, founder, or other senior executive.
  • Hands-on experience with contracts, legal documents, corporate records, or regulatory matters.
  • Strong organization, attention to detail, communication, judgment, and ability to manage shifting priorities.
  • Ability to work independently, take ownership, and handle highly confidential business and personal information.
  • Ability to work in the office in Austin, Texas, within the hybrid arrangement.

Nice to have

  • Bachelor's degree or paralegal certificate.
