Proposal Coordinator

Location: Remote work acceptable; available locations include Rapid City, South Dakota; Denver or Colorado Springs, Colorado; Fort Myers, Tampa, or Sarasota, Florida; Bozeman or Helena, Montana; San Antonio or Richardson, Texas; and Pipersville, Pennsylvania.

Salary: $65,000–$75,000 per year, plus a comprehensive fringe-benefits package.

What you will do

• Manage the full proposal development lifecycle, including planning, coordination, document setup, and submission.
• Schedule and facilitate meetings, coordinate responsibilities, and track deliverables and timelines.
• Research and synthesize content from internal databases and external sources to support proposal writing.
• Coordinate outreach to subconsultants, prime consultants, subject matter experts, and partners.
• Ensure proposal compliance, quality, consistency, and on-time delivery.
• Maintain proposal libraries, databases, boilerplate language, and client and opportunity data in Salesforce.

Requirements

• Bachelor’s degree or higher from an accredited institution.
• At least five years of experience coordinating proposals in the AEC industry.
• Excellent verbal and written communication skills.
• Strong project coordination, organization, time management, and multitasking skills.
• Experience managing documents and databases; proficiency with Microsoft Office.
• Valid driver’s license and clean driving record; ability to operate a company or personal vehicle for business-related travel during work hours.

Nice to have

• Experience in a writing-related field and using AI.
• Graphic design and page-layout experience with Adobe products.
• Experience with business development practices and Salesforce.
