TL;DR

Trailing Document Specialist (Mortgage): Process and manage recorded mortgage documents and final title policies to ensure compliance with investor and agency guidelines with an accent on document auditing, scanning/uploading to LOS (Encompass), and resolving missing or unusable trailing documents. Focus on tracking document movement, meeting turn-time and service-level standards, and coordinating with investors and title companies to complete shipments on time.

Location: Irvine, CA (Michelson Dr)

Salary: $22.80–$34.20 hourly (base pay range for CA, CT, MD, MA, NJ, NY, WA, and Washington DC)

What you will do

  • Receive final title policies and recorded mortgage/deed of trust documents.
  • Audit, scan, and upload documents to LOS (Encompass) and maintain accurate records.
  • Follow up on aging, pending, or missing trailing documents with investors and title companies.
  • Resolve and correct missing, incorrect, unexpected, unrecorded, illegible, damaged, or otherwise unusable documents required in the mortgage collateral file.
  • Track and monitor file location and movement using database systems; prepare documents for shipment to investors.
  • Independently manage tasks to meet turn times and service-level standards, including return-call/return-email and task completion times.

Requirements

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • 1+ year of experience in mortgage lending (preferably post-closing); 2+ years in mortgage post-closing or a related field strongly preferred.
  • Familiarity with loan origination systems (preferably Encompass) and document management platforms.
  • Strong attention to detail and organizational skills; ability to manage multiple deadlines and competing priorities.
  • Excellent written and verbal communication skills; ability to collaborate cross-functionally and work independently.
  • Ability to work overtime as needed; proficiency in Microsoft Office suite.
